As your product grows, so does the amount of content that needs to be localized. You’ll also need more manpower. Collaborative translation can make a difference, as you’d bring everyone into the same workflow. Here’s what you need to know.

What is collaborative translation?

Collaborative translation is a translation process in which multiple people work together to translate, review, edit, and manage content. The people involved don’t necessarily have the same role. Everyone contributes something different to the final result.

What makes the process collaborative isn’t simply having several people involved. The important part is that those people can work within a shared workflow. That shared environment changes the nature of the translation process because it becomes something your team can work on continuously.

Who collaborates?

Devs and engineers. They set up the initial string extraction, integrate translation management system (TMS) APIs or CLI tools, and configure automated repository syncs.

Localization managers and product owners. They organize string keys, assign languages, manage user permissions, set up glossaries, and keep translation progress aligned with product release schedules.

Translators and proofreaders. These are native language experts who work directly within the translation interface. They use features like translation memory, glossary terms, and character-limit constraints to deliver accurate, context-aware target strings.

Community contributors and crowdsourced workers. These are volunteers or power users who contribute translations for community-driven or open-source projects. They should be given restricted access levels.

Collaborative translation, not the same as crowdsourced translation

Before we get into it, let’s clear up a common misconception. Collaborative is not the same thing as crowdsourced.

Crowdsourced translation involves getting translation contributions from a larger community: users, volunteers, or members of a language community. Collaborative translation is a broader concept where multiple people contribute to the translation process and work together.

A collaborative translation team could consist of only two in-house employees; you don’t need a large community. Even a small localization team can work collaboratively, but only if the workflow allows people to share information, review translations, and keep their work connected.

How does collaborative translation work?

Now moving on to the workflow, it all depends on your team, your content, and the tools you use. However, the basic idea is pretty simple. You start with your source content.

For a software product, the source content is the text that appears in your interface: buttons, menus, notifications, error messages, onboarding screens, emails, and other user-facing content. You then make that content available to the people responsible for translating (and reviewing) it.

Suppose a translator comes across a phrase that could have two different meanings, they don’t have to guess or use another platform to ask for more information. They can raise the question within the translation workflow. Someone from the product team can clarify what the phrase means, and the translator can make an informed decision.

The same thing happens during review. If a reviewer sees that a particular term doesn’t match the terminology used elsewhere in the product, they can suggest a correction. Translator or localization manager can address it without having to compare different versions of a document manually.

Once translations are approved, they can be exported or synced with the product, depending on how your localization workflow is set up. Translation nowadays doesn’t really have a finish line. Your product changes, your translations have to change with it.

Collaborative translation in software localization

You can use collaborative translation for almost any type of content, but you’ll see its value when you’re translating software. Because here, a translation can be grammatically perfect and still be completely wrong for the product. It’s all due to context.

The people closest to the product often aren’t the people doing the translation. That’s why you can hire a great translator that knows the language perfectly but may not know how a particular feature works.

Collaborative translation gathers different kinds of knowledge into the same workflow. Don’t expect one person to know everything. You have to give the right people a way to contribute their expertise at the right moment.

The benefits of collaborative translation

Faster time-to-market because your translators can work in parallel with devs during active sprint cycles.

Drastic reduction in engineering overhead. Automated CI/CD webhooks and repository integrations pull new source strings and push translated files automatically.

Higher context and fewer translation errors. The great thing about collaborative platforms is that they give translators visual context, character limits, screenshot references, and term glossaries directly within the UI.

Consistency via shared assets thanks to the built-in translation memory and terminology glossaries that suggest previously approved translations across all languages.

Granular role and security management. Because project managers can assign role-based access control, the source code is kept safe.

How to create a collaborative translation workflow

Collaboration works best when everyone working on the translation project can see the same picture. That starts with the content itself: everyone should work from the same (latest) version.

If you keep your source strings in one shared place, you give everyone a common starting point. But having everyone in the same place isn’t enough. People also need to know what they’re responsible for. When those roles are clear, each person knows when and how to contribute.

The process becomes much easier when translators have enough context to make good decisions in the first place. Give them screenshots, descriptions, comments, and other contextual information, and you should see a huge difference in translation quality.

Terminology becomes very important when you have more than one person translating the same product. Use a glossary to give your translators a shared reference for the terms that matter most. It can specify the preferred translation, terms to avoid, and sometimes additional context about how a term should be used.

Build review into the workflow. When review happens continuously, issues can be resolved while they’re still fresh. Your translators can learn from feedback, terminology decisions can be reused, and you avoid ending up with way too many translations that all need to be checked immediately before a release.

Collaborative translation with POEditor

POEditor is a TMS designed to help your team manage software localization collaboratively. It allows you to keep your localization projects in a shared environment and give different contributors access according to their role.

You can choose the best translation approach for you: bring in your own professional translators or in-house language team, use crowdsourcing to involve your community, or use machine and AI translation.

POEditor also offers features like translation memory, machine translation, terminology management, comments, and integrations. Consequently, you can build a workflow around the needs of your team. No more relying on a bunch of separate tools!

The result is a shared workspace where translation becomes part of the product development process.

Read more: Why POEditor is the perfect collaborative translation platform

Ready to power up localization?
Subscribe to the POEditor platform today!
See pricing

When you’re translating a product, it can be hard to keep everyone involved in the process on the same page.
